- Update from CVC-OEI about grant deadlines and milestones
Colleagues,
I appreciate your patience as the CVC-OEI team worked with the CCC Chancellor’s Office
to determine the options available to us in response to these changing times. Please
note the following updates:
Grant Extension & Q3 Reporting
The authorization period for the grants has been extended by six (6) months. Colleges
now have until December 31, 2020 to complete their projects and spend out their existing allocations. The expectation
is that this extension will provide colleges with the time and bandwidth to complete
their projects within their original approved scope, without further adjustment based
on the limited availability of resources. As many of you may need to revise certain
aspects of your budget (including, but not limited to shifting around unused travel
funds), my team will be on hand to assist with that process and ensure appropriate
documentation.
By April 15, 2020, we will be reaching out to the Principal Investigators with time-extension
amendments to the existing Grant Subaward Agreements. Additional guidance and procedural
Frequently Asked Questions (FAQs) will be posted via BaseCamp.
On a similar note, the submission deadline for the Q3 narrative report and invoice
has also been extended to April 30, 2020, in the hopes of alleviating concerns around faculty and staff availability. In
an effort to ease the workload associated with the Q3 report, completion of the data
table(s) has been omitted as a requirement for the narrative report. Updates to the
data table(s) will resume as part of the subsequent Q4 report.
Revised Grant Timeline
- Q3 Report & Invoice Submission | April 30, 2020
- Q4 Report & Invoice Submission (Includes FY 19-20 Year End Close) | July 15, 2020
- Q5 Report & Invoice Submission | October 15, 2020
- Grantee Project Period Ends | December 31, 2020
- Final Report & Invoice Submission (Includes Grant Fiscal Close) | January 31, 2021
Grant Completion Support
Given the short timeline between project completion and submission of the final project
and fiscal reports on January 31, 2021, grantee colleges will be eligible to receive up to $15,000 in reimbursement (per project) for actual costs associated with the preparation of
final documents between January 01, 2021, and January 31, 2021. This process will
be very similar to that of the Planning & Development Reimbursements distributed as part of the application process in 2019. The CVC-OEI grants administration
team will work with each Principal Investigator to execute a Memorandum of Understanding
for the purposes of this reimbursement.
It is my hope that these adjustments provide the necessary relief and support required
for successful completion of your grant projects. The work that you are all doing
for our students is critical and CVC-OEI is committed to supporting you in these efforts.
